Standard Operating Procedures (SOP)

The Standard Operating Procedures (SOP) module in the Quantela Platform streamlines, automates, and standardizes operational workflows to ensure tasks are executed consistently and efficiently. By defining structured SOPs, organizations can establish repeatable processes, reducing manual intervention and ensuring compliance with operational guidelines. The platform allows users to design, trigger, execute, and monitor SOPs, enabling businesses to enhance response times, improve process efficiency, and maintain operational integrity.

Key Features:

1. Dynamic SOP Management & Automation

The SOP Engine provides rule-based execution workflows with real-time monitoring, ensuring standardized incident responses. SOPs can be triggered manually or automatically based on event classification, predefined escalation rules, or real-time anomaly detection.

Escalation Management includes both time-bound auto-escalation and hierarchical escalation, ensuring that unresolved incidents are automatically escalated based on predefined rules. Notifications can be sent via SMS, email, push notifications, or integrated communication tools like MS Teams, Slack, or WhatsApp API.

SOP Execution & Collaboration features a drag-and-drop SOP builder for creating workflows using a no-code interface. Built-in collaboration tools, including chat, video conferencing, and threaded discussions, enable seamless cross-department coordination.

Artifact Management allows operators to upload incident reports, images, videos, logs, and sensor data for compliance and post-incident review. Automated Video Recording captures operator actions during SOP execution, ensuring auditability and compliance tracking.

2. Workflow Definition with Flow-Based Editor

The platform includes a visual, flow-based editor that enables users to design and configure SOP workflows without coding. By mapping a sequence of tasks, organizations can align workflows with operational objectives, compliance requirements, and automation strategies. The canvas-based builder supports complex, multi-step workflows, allowing users to define task dependencies, parallel execution paths, and conditional logic. This ensures workflows remain adaptable and responsive to evolving operational needs.

3. Trigger-Based Execution

SOPs can be triggered automatically, manually, or through system-defined conditions, ensuring real-time responsiveness. Automation Rules allow workflows to be executed upon detecting predefined conditions, while Inbound Data Streams enable responses based on IoT sensor readings, API calls, or system alerts. Manual Inputs allow authorized personnel to initiate workflows when direct intervention is required. This event-driven execution ensures that SOPs remain in sync with operational environments, reducing delays and improving efficiency.

4. Task Customization

The platform supports a hybrid execution model, enabling organizations to combine automated and manual tasks within a single workflow. Users can configure:

  • Automated Notifications to send alerts via SMTP (email), SMS gateways, or enterprise collaboration tools, ensuring stakeholders are informed.
  • System Actions to trigger external system updates, such as activating IoT devices, adjusting security protocols, or modifying database records.
  • Role-Based Assignments to delegate tasks to specific personnel or departments, ensuring accountability and structured execution.

This flexibility allows SOPs to adapt to both simple and complex business processes while maintaining operational consistency.

5. Role-Based Access and Execution

To enforce security and governance, the platform applies Role-Based Access Control (RBAC) to SOPs. Task assignments, workflow visibility, and execution permissions are governed by user roles, ensuring that only authorized personnel can modify or execute specific workflows. This prevents unauthorized access and safeguards sensitive operations. By scoping SOPs to user roles, organizations maintain workflow integrity while providing controlled access to operational procedures.

6. Real-Time Monitoring and Updates

The platform offers live tracking and monitoring of SOP execution, allowing administrators to oversee workflow progress, identify bottlenecks, and optimize processes in real time. Integration with the Events module ensures that SOP-triggered actions are logged, auditable, and traceable. The system provides visibility into:

  • Active workflows, allowing teams to track execution progress.
  • Completed SOPs, confirming that tasks were performed as expected.
  • Failed workflows, enabling administrators to diagnose and resolve issues efficiently.

By offering real-time insights, the platform facilitates continuous process optimization, ensuring that SOPs remain effective and aligned with operational needs.
